Structure a schedule request so the current plan, proposed plan, timing and response are distinct.

State the current and proposed plan

  • The currently scheduled date and time
  • The exact replacement date and time
  • Transportation changes
  • Any connected event or handoff affected
  • The requested response date

Ask one answerable question

A focused request is easier to accept, decline or counter. Background may help, but it should not obscure the actual decision being requested.

Keep in mind

Example: “Could the Friday handoff move from 5:00 p.m. to 6:30 p.m., with all other terms unchanged? Please respond by Wednesday at noon.”

Record the outcome distinctly

A discussion about a request is not the same as approval. Preserve the final accepted terms in the structured schedule so everyone can identify the active plan.

  • Countered with different terms
  • Expired without activation
