Use a short tour and written reference to cover contacts, routines, permissions, safety information and the expected return time.

Start with the care period

  • Where the responsible adult will be and how to reach them
  • Expected return or handoff time
  • Meals, sleep and ordinary routine
  • Approved activities and transportation
  • Who may enter, visit or pick up the child

Show the important places

Walk through exits, the child’s sleeping area, ordinary supplies, required safety equipment and the location of written emergency information. Explain any source instructions without asking the caregiver to guess.

Keep in mind

Keep sensitive information accessible to the authorized caregiver but out of public view and away from unlocked public links.

Make questions easy

  • Name the primary and backup contact.
  • Say which situations require an immediate call.
  • Distinguish a firm safety rule from a household preference.
  • Invite the caregiver to repeat back any time-sensitive instruction.
  • Update the written reference after a contact or instruction changes.
